Facility/Space Use at

USF St. Petersburg

Reservation and use of facilities and space at the University of South Florida St. Petersburg is administered through our Space Use Policy.  The overview of this policy is as follows:

“As a public institution of higher education, the premises and facilities of the University of South Florida St. Petersburg are available for use by campus and university departments, and related campus entities; non-profit, and external public/governmental agencies and organizations. In keeping with a philosophy of community access, openness and responsible stewardship of public resources, external entities will be assessed space use fees, appropriate set-up/clean-up charges, police services fees, audio-visual fees, parking fees and other incidental fees for utilization of university property, facilities and services.”

Who may request facility use?

University facilities will be available for use by campus and university departments, related campus entities, and non-profit, external public/governmental agencies and organizations.

Priority for use will be given in the following order:

    1. USFSP Academic credit generating classroom activities, including academic/research and university business services
    2. USFSP recognized department, club or group-approved event
    3. USFSP sponsored or co-sponsored conferences, seminars, workshops, symposia
    4. External non-profit and public/governmental agencies and organizations

Reservation Process

When an organization/agency requests the use of a USFSP facility, the following steps are needed.

    • Inquire with Reservation Services to see if a facility is available
    • Complete a Facility Reservation Request Form
    • Signature of financially responsible representative
    • Provide information regarding room set-up (a diagram may be required)

The following must accompany the completed Facility Reservation Request Form

    • Deposit Equal to Space Use Fee (other fees and charges due by event date)
    • Non Profit Organization Documentation – 501(c)3
    • Tax Exempt Certificate

When the reservation has been granted and confirmed, the following is required 2 weeks prior to the event:

    • Certificate of Liability Insurance with minimum $1,000,000.00 coverage, and with USF St. Petersburg as additionally insured
    • Event Planning Session Appointment (if applicable - must be at least 3 weeks prior to the event)

Note: Reservations are confirmed when the Facility Reservation Request Form is returned to the requestor signed by the Campus Space Use Coordinator.

Facilities Use Fees

Faculity use fees vary on the day of the week, size of room, and additional equipment and services needed.

The use fee for USFSP facilities includes use of the room and associated equipment and staff (see Equipment and Personnel). 

Other charges that may incur are parking, police services, housekeeping, and/or additional equipment or staff, depending on the specific circumstance of the event.

Parking Arrangements

Facility Reservations do not include parking.  Parking availability will vary depending on day of week and time of day, and the needs of the event. Parking on-campus will involve additional fees for cars that do not display a USF parking permit.

  • Arrangements to secure bulk parking-permits can be made with Reservation Services. 
  • Single permits can be purchased at the Parking Pass Kiosk at the Welcome Center [corner of 2nd St. S. and 5th Ave S. (727) USF-INFO]

Of prime consideration will be the academic class schedule and faculty and student parking needs. Depending upon event date, parking arrangements may need to be made with off campus locations.

Food Service Requirements

Events with food as part of the program must use choose from several excellent caterers contracted by USF St. Petersburg. This policy applies to any event held at USF St. Petersburg (both USF-sponsored programs and those hosted by community groups).

Equipment and Services

Set-up of the various spaces on campus will depend on the capacities and equipment available for each area.  Equipment includes, tables, chairs, stage, microphones, projectors, etc. A standard set-up for each space is described in the Equipment and Personnel section; a set-up other than the standard may incur additional labor and equipment charges. 

Set-ups that require more equipment than USFSP owns may require the organizing agency/organization to rent the equipment from an off-campus source.  Check with Reservation Services for equipment availability.

The standard set-up includes specific audio equipment.  Audio and video equipment requirements other than the standard set-up will incur charges. For other equipment and services available see Audio-visual, Equipment & Service Fee. Check with Reservation Services for equipment availability.

Events that include alcohol and or have large numbers attending the event may require one or more USFSP police officers to be present at the event.  In these situations the appropriate costs will be charged to the event organizer. For the safety of the campus and event participants the number of officers and the number of hours the officers will be in attendance at the event will be at the discretion of the Police Department. 

Large events that occur over or on a weekend may require additional housekeeping services and additional related charges.
