Additional charges:              Early opening or Late closing = $100.00

                                       Additional staff = $15.00 per hour

                                       Housekeeping services = $100.00 for a Maximum of 4 hours

    • Set-Up and/or Clean-Up Charges - to be determined based upon nature and size of the event
    • Police Services Fees - to be determined based upon nature and size of the event
    • Audio-Visual Equipment Fees - to be determined based on equipment need
    • Other incidental fees for utilization of university/state property and facilities
    • Parking passes required for all vehicles

Cancellation Policy

CAC core

  • Cancellations thirty days in advance will be no charge
  • 29 to 15 days in advance an administrative charge of 10% of all fees (including labor and equipment) will be assessed
  • 14 to 7 days - 20% of all fees
  • less than 6 days  - 50%
  • day of – No Refund

DAV 130, CAC 133, other Campus facilities

  • Cancellations 15 days in advance, no charge
  • 14 to 7 days in advance 10% of all fees
  • 6-3 days - 20%
  • less that 48 hours 50%
  • day of – No Refund

Waivers or exceptions

Waivers or exceptions to this policy must be approved in writing from the Regional Vice Chancellor for Student Affairs.

Procedure: After a Reservation Request has been submitted and invoice generated an event coordinator may request a waiver or exception to this policy by filling out a Co-Sponsorship Grant Request form.  The form and all documents will be reviewed by the Space-use Coordinator and submitted with recommendation to the Regional Vice Chancellor for Student Affairs.  The Vice Chancellor will review the request and all documentation and approve, approve with modifications or disapprove the request. The Regional Vice Chancellor’s decision is final.

Included with Use Fee

Space-use Fee includes equipment and services noted below and are specific to each area.

Other equipment and labor may be available at additional charge depending on space requested.

  • Basketball court area (room101) and entrance lobby

  • Tables – up to 16 round 5’ and 37 rectangle 5’ & 6’
  • Stage – up to 8 - 4’x8’ sections
  • Lectern with one microphone
  • Built in big screen

  • House lights

  • Set-up and take-down labor (CAC equipment above only)
  • House manager (during regular building hours)

CAC 133

  • Conference Room

  • Chairs 40 standard set-up, max. seating 75
  • Tables – 4 rectangle 4’ x 8’, 1 rectangle 4’ x 12’ and 1 rectangle 18” x 8’
  • Table top lectern
  • No house sound

Labor

  • Set-up and take-down labor (CAC equipment above only)
  • House manager (during regular building hours)

CAC 109

Space

  • CAC Aerobics Room
  • Use of Shower rooms if required (may be additional fee)

  • Weekend and evening events will require a house manager at additional cost.
